Building a Custom ERP for a Hookah Lounge: Loyalty, Staff and Operations in One System

A hookah lounge runs on regulars. The owners knew their best guests by face, but nothing knew them by data: points lived on punch cards, deals went out by hand, shifts were planned in a group chat and licence renewals sat on a calendar someone had to remember to check.

Off-the-shelf tools each solved one slice and none of them talked to each other or to the register. So we are building one system for the whole business. This is a build in progress: the story below is what has been designed and built so far, ahead of a December 2026 launch.

The client is a hookah lounge and restaurant with a full menu of hookah, cocktails and food, a loyal membership crowd and a team of servers, managers and kitchen staff working late shifts across two floors and a patio.

• Loyalty points, deals and birthdays were tracked by hand, so regulars were rewarded inconsistently, or not at all.
• Sales happen on Square, but nothing outside the register knew who the guest was or what they had earned.
• Staff scheduling, clock-ins, write-ups and documents were scattered across chats, paper and personal phones.
• Licences, health inspections and tax filings had real deadlines and no system reminding anyone of them.

• Make the register the single source of truth, so the app and the admin mirror Square and never guess a balance.
• Tie every guest to one phone number, so points land on the right person with nothing extra for staff to do.
• Give staff one place to see shifts, clock in, read messages and keep their documents.
• Give management one dashboard for members, deals, the menu, staff, inventory and compliance.

We mapped the whole business before designing a single screen: what a guest does on a night out, what a server does on a shift, and what management does in a week. The result is three portals on one shared backend. Square rings every sale and holds every point; our database holds everything Square does not, from guest profiles to schedules, clock-ins, documents and compliance dates. Background jobs handle the glue, so a sale updates the guest's app within seconds and birthday bonuses go out on their own.

Guests scan a QR code at the table, sign up with their phone and birthday, and are enrolled in Square Loyalty automatically. Points land after they pay, Gold members earn double, birthdays bring a bonus and an offer, and a monthly membership unlocks a free hookah each month.

Management builds a deal once in the admin, picks who it goes to (everyone, Gold members, birthdays or guests who have not visited in a while) and sends it by text and push. Every text goes only to guests who opted in.

The menu manager drives what guests see in the app, so a sold-out flavour can be switched off in seconds. Inventory flags items below their reorder point, and the compliance calendar lists every licence, inspection and filing with reminders 30 and 7 days out.

Staff get their own portal: this week's shifts, GPS clock-in that only works within 300 metres of the lounge, break punches, team messages and their own documents with expiry reminders.

• Staff records and invitations with roles, hours and live shift status built from real clock-in events.
• Write-ups and contracts signed electronically.
• Document storage with automatic expiry reminders for permits and food safety certificates.
• A loss-prevention report of payments and refunds per server, plus cost-per-plate and training tracking.

The admin portal is built on a real database with sign-in, roles, staff invitations, live shift status from clock events and document upload. The register integration is being wired and tested against Square's test account first, so waiting on production access never stalls the build. The customer app goes to the App Store in November, and all three portals are planned to go live on 1 December 2026.
